Privacy Policy

Version 1.0. Last updated Wed 4 Nov 2026.

BACKGROUND:

Thomas Kaye, trading as GuidePrice, understands that your privacy is important to you and that you care about how your personal data is used. We respect and value the privacy of everyone who visits this website, guideprice.uk (“Our Site”) and will only collect and use personal data in ways that are described here, and in a way that is consistent with our obligations and your rights under the law.

Please read this Privacy Policy carefully and ensure that you understand it. You are not asked to accept this Privacy Policy: it tells you how we use your personal data.

1. Definitions and Interpretation

In this Policy the following terms shall have the following meanings:

“Account” means an account required to access and/or use certain areas and features of Our Site;

“Cookie” means a small text file placed on your computer or device by Our Site when you visit certain parts of Our Site and/or when you use certain features of Our Site. Details of the Cookies used by Our Site are set out in Part 14, below;

“Cookie Law” means the relevant parts of the Privacy and Electronic Communications (EC Directive) Regulations 2003, as amended, relating to the use of cookies and similar technologies;

“Estimator” means the GuidePrice price estimator that a Fitter puts on their own website; and

“Fitter” means a business (such as a fitted-furniture fitter, joiner or showroom) that has an Account.

2. Information About Us

Our Site is owned and operated by Thomas Kaye, trading as GuidePrice, a sole trader.

Address: GuidePrice, Ground Floor, 2 St Peter’s Street, Huddersfield, HD1 1LN.

We are registered with the Information Commissioner’s Office, registration number ZC258454.

Data Protection Lead: Thomas Kaye. Email address: hello@guideprice.uk. Postal address: GuidePrice, Ground Floor, 2 St Peter’s Street, Huddersfield, HD1 1LN.

3. What Does This Policy Cover?

This Privacy Policy applies only to your use of Our Site and explains how any personal data collected through Our Site is used, as well as your rights and how to raise concerns or complaints.

It also covers the personal information GuidePrice is responsible for itself outside Our Site: the people and businesses who have an Account, who join the GuidePrice mailing list, who ask for a demo or send us feedback, who get in touch with us by email, WhatsApp, Facebook or Instagram, and the companies we contact about GuidePrice.

If you sent an enquiry through a fitter’s estimator

The Fitter you contacted decides how your enquiry is used. They are responsible for it, and their own privacy notice explains it. GuidePrice runs the Estimator for them and follows their instructions only. We never sell your details or pass them to other businesses. Your enquiry and any photos are deleted automatically 24 months after you send it. To see, correct or delete it, contact the Fitter. If you contact us instead, we pass your request to them within 5 working days.

A Fitter can also keep your details in a job and send you a quote. A job holds your name, email, phone number, postcode and address, a description of the work and the Fitter’s own notes. It keeps its own copy of your details, so it stays when the enquiry is deleted. If the Fitter emails you a quote, it comes from quotes@guideprice.uk in the Fitter’s name with a PDF attached, and your reply goes to the Fitter. The quote carries the Fitter’s address, phone number, VAT number (if they are registered) and a link to the Fitter’s own privacy notice. The page you open to read the quote has a private web address that only people with the link can use. If the Fitter has switched on online acceptance, the page has an Accept button: when you press it, we record the date and time, move the job to won and email the Fitter. Otherwise you reply to the Fitter to accept. The Fitter can withdraw a quote they have sent. That page sets no cookies and loads no analytics. The Fitter is responsible for these records, and we keep them until the Fitter deletes them or closes their account. To see, correct or delete them, contact the Fitter, as above.

When you send an enquiry, Cloudflare Turnstile checks that a person is filling in the form. The Estimator on a Fitter’s website sets no Cookies and stores nothing else on your device.

The rest of this Privacy Policy is about the information GuidePrice is responsible for itself.

4. What Is Personal Data?

Personal data is defined by the UK GDPR and the Data Protection Act 2018, as amended by the Data (Use and Access) Act 2025 and other applicable legislation relating to data protection and privacy (“the Data Protection Legislation”) as ‘any information relating to an identifiable person who can be directly or indirectly identified in particular by reference to an identifier’.

Personal data is, in simpler terms, any information about you that enables you to be identified. Personal data covers obvious information such as your name and contact details, but it also covers less obvious information such as identification numbers, electronic location data, and other online identifiers.

5. What Are My Rights?

Under the Data Protection Legislation, you have the following rights, which we will always work to uphold:

a) The right to be informed about our collection and use of your personal data. This Privacy Policy should tell you everything you need to know, but you can always contact us to find out more or to ask any questions using the details in Part 15.

b) The right to access the personal data we hold about you. Part 13 will tell you how to do this.

c) The right to have your personal data rectified if any of your personal data held by us is inaccurate or incomplete. Please contact us using the details in Part 15 to find out more.

d) The right to be forgotten, i.e. the right to ask us to delete or otherwise dispose of any of your personal data that we hold. Please contact us using the details in Part 15 to find out more.

e) The right to restrict (i.e. prevent) the processing of your personal data.

f) The right to object to us using your personal data for a particular purpose or purposes.

g) The right to withdraw consent. This means that, if we are relying on your consent as the legal basis for using your personal data, you are free to withdraw that consent at any time.

h) The right to data portability. This means that, if you have provided personal data to us directly, we are using it with your consent or for the performance of a contract, and that data is processed using automated means, you can ask us for a copy of that personal data to re-use with another service or business in many cases.

i) Rights relating to automated decision-making and profiling. We do not use your personal data in this way. Two automatic checks run, and neither makes a decision with legal or similarly significant effects about you: a spam check that stops enquiries sent by robots, and, on a Fitter’s Free plan, a hold that keeps enquiries over the plan’s monthly allowance out of the Fitter’s view until they upgrade (held enquiries are deleted after 14 days).

For more information about our use of your personal data or exercising your rights as outlined above, please contact us using the details provided in Part 15.

Which of these rights apply can depend on our lawful basis for using your personal data (set out in Part 7). Where we rely on contract or consent, all of your data protection rights may apply except the right to object. Where we rely on legitimate interests, all of your data protection rights may apply except the right to portability. Where we rely on a legal obligation, all of your data protection rights may apply except the right to erasure, the right to object and the right to data portability. Some exemptions apply, which means you may not receive all the information you ask for. If you make a request, we must respond to you without undue delay and in any event within one month.

It is important that your personal data is kept accurate and up-to-date. If any of the personal data we hold about you changes, please keep us informed as long as we have that data.

Further information about your rights can also be obtained from the Information Commissioner’s Office or your local Citizens Advice Bureau.

If you have any cause for complaint about our use of your personal data, you have the right to complain to us using the contact details provided in Part 15 (or by any other method). We will do our best to resolve your complaint. We will acknowledge your complaint within 30 days and will respond to it without undue delay.

You also have the right to lodge a complaint with the Information Commissioner’s Office. You may wish to raise your concerns with us first, so that we can try to resolve them. If you are not satisfied with our response, you can complain to the Information Commissioner’s Office. The ICO’s address is ICO Head Office, 4th Floor, No.3 Circle Square, 5 Hawkshaw Street, Manchester, M1 7BL. Helpline number: 0303 123 1113. Website: https://www.ico.org.uk/make-a-complaint.

6. What Data Do You Collect and How?

Depending upon your use of Our Site, we may collect and hold some or all of the personal and non-personal data set out in the table below, using the methods also set out in the table. Please also see Part 14 for more information about our use of Cookies and similar technologies and our Cookie Policy (https://guideprice.uk/privacy#cookies). We do not collect any ‘special category’ or ‘sensitive’ personal data, personal data relating to children, or data relating to criminal convictions and/or offences.

Data Collected How We Collect the Data
Identity Information including your name, and your first name if you give it when you ask for a demo. You give it to us when you create or use an Account, join the mailing list, ask for a demo, send feedback, or write to us by email, through Our Site, or on WhatsApp, Facebook or Instagram. For companies we contact, a name is used only where the company’s own website shows it next to the published business email address.
Contact information including email address, telephone number and postal address (for a Fitter, the address and phone number you add for your quotes). From you, in the same ways. For companies we contact, from the business email address shown on the company’s own website.
Business information including business name, business website, Companies House number, VAT number if you have one, the web address of your logo (our server fetches the logo to put it on your quote PDFs), and your Estimator settings (rates, colour, coverage area, wording and the email enquiries go to). From you. For companies we contact, from the company’s own website and the public Companies House register.
Payment information including your billing name, email and address, plan, invoices, payments and refunds. Card details are taken and held by Stripe; we never see card numbers. From you, through Stripe Checkout and Stripe’s billing page. Stripe also tells us whether a payment went through.
Profile information including your sign-in email address and sign-in sessions, plan and billing status, marketing preferences, records of consent (which form you used, when, whether you came from one of our adverts, and whether and when you unsubscribed), the version of our terms you accepted and when, records of the emails we send you, and information used for security purposes. From you when you create an Account, join the mailing list or accept our terms, and generated by Our Site when you sign in. Every acceptance of our terms is recorded with its version and time.
Technical information including IP address, browser type, the pages you view, the page you came from, and your country and type of device. Collected automatically when your browser connects to Our Site. Cloudflare Web Analytics counts visits without Cookies. When an enquiry is sent, the IP address and a browser token are checked for spam and rate limits and are not stored, and Cloudflare Turnstile checks your browser when you use our forms.
Data from third parties including payment confirmations from Stripe, statistics from Meta about visits to our Facebook and Instagram pages, and details that businesses publish on their own websites, on the Companies House register and on their public Instagram pages. From Stripe, from Meta, and from those public sources.
Demo request information: your company’s name, your email, your first name if you give it, your website and your note. From the demo request form at guideprice.uk/demo.
Feedback on the Estimator: what you write, and your name and email if you give them. From the feedback form on our demo pages. It comes to us as an email and is not stored anywhere else.
Correspondence and records of dealings: your name, contact details, what you wrote, your account and billing records if you are a customer, and a record of what happened if you make a complaint or a claim. From you, when you get in touch by email, through Our Site, or on WhatsApp, Facebook or Instagram.
Outreach records, for companies we contact directly: business name, business email address, website, Companies House number, what the company fits, a note of when we wrote and whether they replied, and a short reference code. From the company’s own website and the public Companies House register. We do not buy lists or use personal email addresses.
Instagram records, for businesses in the fitted-furniture trade: the public Instagram handle, business name, public profile and posts, and a note of whether and when we followed, liked or commented. A handle can identify a person where the business is a sole trader. From the public Instagram profiles and posts of those businesses, read through Apify. We stopped this in October 2026 and deleted the lists we kept.
Financial transaction information, name and contact information needed for our legal requirements such as keeping accounts for HMRC. From you and from Stripe.

Our demo estimators (the ones on guideprice.uk/try and guideprice.uk/for/) price what you type in but never store or email it.

7. How Do You Use My Personal Data?

Under the Data Protection Legislation, we must always have a lawful basis for using personal data. The following table describes how we may use your personal data, and our lawful bases for doing so:

What We Do What Data We Use Our Lawful Basis
Registering you on Our Site. Identity Information, Contact information, Business information. Contract: we have to use the information so we can enter into or carry out a contract with you.
Providing and managing your Account. Identity Information, Contact information, Business information, Payment information, Profile information. Contract: to run your Account, deliver your enquiries, send your quotes and take payment. Legitimate interests, for the service emails we send you (your sign-in codes, a welcome email, one reminder if your Estimator still uses the example rates, billing notices and changes to the terms) and to help you get the service working. These emails are not marketing, and there are no more than those.
Providing and managing your access to Our Site. Technical information, Profile information. Legitimate interests: keeping the service secure and stopping abuse.
Administering Our Site. Technical information. Legitimate interests: counting visits, so we can see how many people visit and not who they are; and checking that a person, not a machine, is filling in our forms.
Administering our business. Identity Information, Contact information, Business information, Payment information. Legal obligation: keeping accounts and records for HMRC.
Supplying our services to you. Identity Information, Contact information, Business information, Payment information, Profile information. Contract: to run your Estimator, deliver the enquiries it takes to you, and make and send your quotes.
Managing payments for our services. Payment information. Contract: to take payment. Legal obligation: keeping accounts and records for HMRC.
Communicating with you. Identity Information, Contact information, Profile information, Payment information (if you are a customer), and what you wrote. Contract, when a customer asks about their account. Legal obligation, for data protection requests and complaints. Legitimate interests, for everyone else who gets in touch. When someone gets in touch with GuidePrice, by email, through Our Site, or on WhatsApp, Facebook or Instagram, we use their name, contact details and what they wrote so we can answer them. If they are a customer, we also look at their account and billing records. If someone makes a complaint or a claim, we keep a record of what happened so we can put it right and show how it was handled. People expect a reply when they write to a business, and we only use what they have sent us or what we already hold about their account. We do not use these messages for marketing.
Supplying you with information by email that you have opted-in-to (you may opt-out at any time by using the unsubscribe link in any email). Identity Information, Contact information, Profile information. Consent. We rely on consent for the mailing list. If you are one of the first 50 fitters on the list, we also use your place on it to offer you the Founding Fitter rate.
Emailing companies directly to tell them about GuidePrice. Outreach records (Part 6). Legitimate interests, set out below.
Building and sending the demo you ask for. Demo request information. Legitimate interests: answering the company that asked, and building what it asked for.
Reading your feedback on the Estimator and replying. Feedback on the Estimator. Legitimate interests: improving the Estimator and answering the person who wrote.
Engaging with businesses in the fitted-furniture trade on Instagram (until October 2026). Instagram records (Part 6). Legitimate interests: getting to know businesses in our trade and starting conversations with them.
Seeing whether our adverts lead to sign-ups. Profile information (whether you came from one of our adverts); statistics from Meta. Legitimate interests: seeing whether our adverts work, and how many people look at our Facebook and Instagram pages.
Complying with the law. Name, Contact information, Financial transaction information. Legal obligation: we have to use your information so we can comply with the law.

Our legitimate interests in emailing companies about GuidePrice. We email limited companies that fit wardrobes, alcoves and media walls to tell them about GuidePrice, an online price estimator made for their trade. We also send customers occasional updates about the service they pay for.

For companies we contact, we use only the business name, the business email address shown on the company’s own website, the website itself, the company number from the public Companies House register, and a note of when we wrote and whether they replied. We do not buy lists or use personal email addresses. We do not email sole traders or partnerships.

The risk to the people involved is small. We write to a business address about a business product, one company at a time, and each email is written and sent by a person (Thomas Kaye). Every email says how to stop: reply “no” or write to hello@guideprice.uk. When someone asks us to stop, we keep only their email address on a do-not-contact list so we never write again. We delete everything else 12 months after we last spoke, or sooner if asked.

We are confident the benefit outweighs the risk. A company hears about a tool built for its work, it takes seconds to say no, and we hold nothing beyond what the company already publishes about itself.

For more information on our use of legitimate interests as a lawful basis, you can contact us using the details in Part 15.

With your permission and/or where permitted by law, we may also use your personal data for marketing purposes, which may include contacting you by email with information, news, and offers on our services. You will not be sent any unlawful marketing or spam. We will always work to fully protect your rights and comply with our obligations under the Data Protection Legislation and the Privacy and Electronic Communications (EC Directive) Regulations 2003, and you will always have the opportunity to opt-out. We will always obtain your express opt-in consent before sharing your personal data with third parties for marketing purposes and you will be able to opt-out at any time. We never sell or share the mailing list.

Third Parties (including Cloudflare, whose Turnstile check appears on our forms) whose content appears on Our Site may use third-party Cookies and similar technologies, as detailed below in Part 14. Please refer to Part 14 for more information on controlling Cookies and similar technologies. Please note that we do not control the activities of such third parties, nor the data that they collect and use themselves, and we advise you to check the privacy policies of any such third parties.

We will only use your personal data for the purpose(s) for which it was originally collected unless we reasonably believe that another purpose is compatible with that or those original purpose(s) and need to use your personal data for that purpose. In some cases, the law may treat certain further uses of personal data as compatible with the original purpose, subject to appropriate safeguards. If we rely on compatibility in this way and you want us to explain how the new purpose is compatible with the original, please contact us using the details in Part 15.

If we need to use your personal data for a purpose that is unrelated to, or incompatible with, the purpose(s) for which it was originally collected, we will inform you and explain the legal basis which allows us to do so.

In some circumstances, where permitted or required by law, we may process your personal data without your knowledge or consent. This will only be done within the bounds of the Data Protection Legislation and your legal rights.

8. How Long Will You Keep My Personal Data?

We will not keep your personal data for any longer than is necessary in light of the reason(s) for which it was first collected. Your personal data will therefore be kept for the following periods (or, where there is no fixed period, the following factors will be used to determine how long it is kept):

Type of Data How Long We Keep It
Identity Information, Contact information, Business information and Profile information of people with an Account While the Account is open, then deleted within 30 days of it closing. Rows we delete stay in our database provider’s 7-day restore history, then are gone.
Payment information and billing records 6 years after the end of the tax year they belong to, then deleted, or longer if HMRC is checking that year. This covers HMRC’s rules and the time in which a claim about a payment can be made. If GuidePrice becomes a limited company: 6 years after the end of the company’s financial year. Card details are held by Stripe, not by us.
Record of the terms an Account holder accepted (version, date and time, and the Account’s email address) 6 years after the Account closes, as evidence of what was agreed.
Mailing list (Identity Information, Contact information, Profile information) Until you ask us to delete it. If you unsubscribe, we keep your email address and the date, marked as unsubscribed, so that we never email you again. Unsubscribes made through the link in our emails are copied to our waiting list every night. If GuidePrice does not launch, we delete the list. A Founding Fitter or Founding Showroom place stays on record after the Account closes, because it counts towards the places on offer, and is deleted 6 years after the place ends.
Outreach records, for companies we contact 12 months after we last spoke. If you ask us to stop, we keep only your business email address on a do-not-contact list. The copy of the outreach list in our database is deleted if it is not refreshed for 35 days.
Demo request information 12 months after we last spoke. The demo we build is deleted 14 days after we send it, unless you would like to keep yours.
Feedback on the Estimator Deleted from our inbox 12 months after we last spoke.
Correspondence, queries and complaints 12 months after we last spoke, or longer if a complaint or claim needs it.
Instagram records None kept: we stopped engaging on Instagram this way in October 2026 and deleted the lists.
Enquiries sent through a Fitter’s Estimator, and their photos Deleted automatically 24 months after they are sent; photos are deleted with their enquiry. Enquiries a Free-plan Fitter does not receive because they are over the monthly allowance are held for 14 days: if the Fitter upgrades in that time they are released to the Fitter and kept like any other enquiry; if not, they are deleted. The Fitter can delete any enquiry at any time.
Jobs, quotes and costs a Fitter keeps in GuidePrice The Fitter decides how long to keep them. We keep them until the Fitter deletes them or closes their Account, then delete them within 30 days. Ask the Fitter how long they keep your details.
Technical information Visit counts (which hold no personal data) are kept for 13 months. Cloudflare and Meta keep the data they collect for their own periods; we keep no copy. Our hosting provider’s logs are kept for 7 days and the sending logs of our email provider for 30 days.
Past copies of outreach and Instagram records Until 27 Oct 2026 these records were kept in GitHub (a private repository), and its history still holds them. The outreach records are now kept in Google Drive; the Instagram lists have been deleted.

9. How and Where Do You Store or Transfer My Personal Data?

We will store some of your personal data in the UK. This means that it will be fully protected under the Data Protection Legislation. Our database is with Neon, in London.

We will store some of your personal data within the European Economic Area (the “EEA”). The EEA consists of all EU member states, plus Norway, Iceland, and Liechtenstein. This means that your personal data will be fully protected under the EU GDPR and/or to equivalent standards by law. Transfers of personal data to the EEA from the UK are permitted without additional safeguards. Photos that Fitters’ customers upload are stored in Frankfurt, and our email provider Resend is in Ireland.

We may store some or all of your personal data in countries outside of the UK. These are known as “third countries”. We will take additional steps in order to ensure that your personal data is treated just as safely and securely as it would be within the UK and under the Data Protection Legislation as follows:

We will only store or transfer personal data in or to countries that are deemed to provide an adequate level of protection for personal data, or to companies certified under the UK Extension to the EU-US Data Privacy Framework. For further information about adequacy decisions and adequacy regulations, please refer to the Information Commissioner’s Office.

Where a US company is not certified, we will use specific approved contracts which ensure the same levels of personal data protection that apply under the Data Protection Legislation: the UK International Data Transfer Addendum in its data processing terms. For further information, please refer to the Information Commissioner’s Office.

The companies we send personal data to outside the UK are:

Organisation Category of recipient Country the personal data is sent to How the transfer complies with UK data protection law
Meta Platforms Ireland Ltd Social media and advertising Ireland The country has been assessed as providing adequate protection (UK adequacy regulations).
Resend Email delivery Ireland The country has been assessed as providing adequate protection (UK adequacy regulations).
Netlify, Neon (a Databricks company), Cloudflare and Google Website hosting, database, email and software providers United States (Neon keeps our database in London; US access is for support only. Netlify’s server functions run in N. Virginia.) The UK Extension to the EU-US Data Privacy Framework where the company is certified, otherwise the UK International Data Transfer Addendum in its data processing terms.
GitHub File storage (past copies of outreach records) United States The UK Extension to the EU-US Data Privacy Framework.
Apify (until October 2026) Data collection United States Its data processing terms.

For our other use of Claude, Anthropic’s consumer terms, with no data processing agreement or UK Addendum; there we limit what is sent to business contact details and business emails. We never send homeowners’ enquiries or photos.

Please contact us using the details below in Part 15 for further information about the particular data protection safeguards used by us when transferring your personal data to a third country.

The security of your personal data is essential to us, and to protect your data, we take a number of important measures, including the following:

10. Do You Share My Personal Data?

We may share your personal data with the following companies. These companies act on our instructions only, except where we say they are a separate or joint controller.

We may sometimes contract with the following third parties to supply certain services.

Our own app sends the emails that reach hello@guideprice.uk to Anthropic’s API, which drafts replies for us to check. For this Anthropic is our data processor under its commercial terms and data processing addendum, and it may not train its models on what we send. We also use Claude on a standard subscription, under Anthropic’s consumer terms and with no data processing agreement, to check companies’ websites, write emails and run the business; when we ask it to, it reads business details such as a company’s name and business email address. Claude never sees homeowners’ enquiries or photos. We read every draft, and we send every email ourselves. Technology: AI United States

Meta is responsible for how it uses the information afterwards, under its own privacy policy. Messages you send on WhatsApp, Facebook or Instagram are handled by Meta under its own privacy policy. Social media and advertising Ireland
Professional or legal advisers, relevant regulatory authorities such as HMRC and the ICO, and organisations we are legally obliged to share personal information with Advice, tax, and complying with the law. Professional services; public bodies UK

If any of your personal data is shared with a third party, as described above, we will take steps to ensure that your personal data is handled safely, securely, and in accordance with your rights, our obligations, and the third party’s obligations under the law, as described above in Part 9.

If any personal data is transferred outside of the UK, we will take suitable steps in order to ensure that your personal data is treated just as safely and securely as it would be within the UK and under the Data Protection Legislation, as explained above in Part 9.

If we sell, transfer, or merge parts of our business or assets, your personal data may be transferred to a third party. Any new owner of our business may continue to use your personal data in the same way(s) that we have used it, as specified in this Privacy Policy.

In some limited circumstances, we may be legally required to share certain personal data, which might include yours, if we are involved in legal proceedings or complying with legal obligations, a court order, or the instructions of a government authority.

11. How Can I Control My Personal Data?

In addition to your rights under the Data Protection Legislation, set out in Part 5, when you submit personal data via Our Site, you may be given options to restrict our use of your personal data. In particular, we aim to give you strong controls on our use of your data for direct marketing purposes (including the ability to opt-out of receiving emails from us which you may do by unsubscribing using the links provided in our emails and at the point of providing your details and by managing your Account).

You can unsubscribe from the mailing list using the link in any email. If we have emailed your company, reply “no” to stop hearing from us, or ask us to delete everything we hold about your company. We will do it within a month and keep only the email address on the do-not-contact list, so we do not write to you again by mistake.

You may also wish to sign up to one or more of the preference services operating in the UK: The Telephone Preference Service (“the TPS”), the Corporate Telephone Preference Service (“the CTPS”), and the Mailing Preference Service (“the MPS”). These may help to prevent you receiving unsolicited marketing. Please note, however, that these services will not prevent you from receiving marketing communications that you have consented to receiving.

12. Can I Withhold Information?

You may access certain areas of Our Site without providing any personal data at all. However, to use all features and functions available on Our Site you may be required to submit or allow for the collection of certain data.

You may restrict our use of Cookies and similar technologies. For more information, see Part 14 and our Cookie Policy (https://guideprice.uk/privacy#cookies).

13. How Can I Access My Personal Data?

If you want to know what personal data we have about you, you can ask us for details of that personal data and for a copy of it (where any such personal data is held). This is known as a “subject access request”.

When responding to a subject access request, we will carry out reasonable and proportionate searches for the personal data covered by your request.

All subject access requests should be made in writing and sent to the email or postal addresses shown in Part 15.

There is not normally any charge for a subject access request. If your request is ‘manifestly unfounded or excessive’ (for example, if you make repetitive requests) a fee may be charged to cover our administrative costs in responding.

We will respond to your subject access request within one month of receiving it. Normally, we aim to provide a complete response, including a copy of your personal data within that time. In some cases, however, particularly if your request is more complex, more time may be required up to a maximum of three months from the date we receive your request. You will be kept fully informed of our progress.

14. How Do You Use Cookies?

References to Cookies in this Part 14 include similar technologies that store information on your device or access information stored on your device, where applicable.

Our Site may place and access certain first-party Cookies and similar technologies on your computer or device. First-party Cookies are those placed directly by us and are used only by us. We use Cookies and similar technologies to facilitate and improve your experience of Our Site and to provide and improve our services. Our Site may also use certain third-party Cookies and similar technologies. Third-party Cookies are those placed by websites, services, and/or parties other than us. Third-party Cookies are used on Our Site for checking that a person is filling in our forms (Cloudflare Turnstile), and for taking payment on Stripe’s own pages. In addition, Our Site uses analytics services provided by Cloudflare (Cloudflare Web Analytics), which sets no Cookies and stores nothing on your device. Website analytics refers to a set of tools used to collect and analyse usage information, enabling us to better understand how people use Our Site. For more details, please refer to our Cookie Policy (https://guideprice.uk/privacy#cookies).

In short: Our Site sets no advertising Cookies, so there is no cookie message to answer. We stopped using the Meta pixel, a tool from Meta (Facebook and Instagram) that measured adverts, on Wed 4 Nov 2026. If you pressed Accept before then, Meta keeps what it collected (which pages you viewed and whether you joined the list) for its own period, under its own privacy policy.

Cloudflare Web Analytics counts page views, the page you came from, and your country and type of device, so we can see how many people visit, not who they are.

The private page a homeowner opens to read and accept a quote sets no Cookies and loads no analytics. The Estimator on a Fitter’s website sets no Cookies.

The demo and feedback forms use Cloudflare Turnstile to check a person is filling them in.

If you message GuidePrice on WhatsApp, Facebook or Instagram, that conversation is handled by Meta under its own privacy policy.

Our Site may place and access certain first party Cookies on your computer or device. First party Cookies are those placed directly by Us and are used only by Us. We use Cookies to facilitate and improve your experience of Our Site and to provide and improve Our services. We have carefully chosen these Cookies and have taken steps to ensure that your privacy and personal data is protected and respected at all times.

By using Our Site, you may also receive certain third party Cookies on your computer or device. Third party Cookies are those placed by websites, services, and/or parties other than Us. Third party Cookies are used on Our Site for checking that a person is filling in Our forms (Cloudflare Turnstile), and for taking payment (Stripe, on Stripe’s own pages). For more details, please refer to section 4 below.

Some of what is described here is not a Cookie file but a similar technology: a small item kept in your browser’s local storage. In this Cookie Policy, “Cookies” includes these.

All Cookies used by and on Our Site are used in accordance with current Cookie Law. We may use some or all of the following types of Cookie:

Strictly Necessary Cookies A Cookie falls into this category if it is essential to the operation of Our Site, supporting functions such as logging in, your shopping basket, and payment transactions.

Functionality Cookies Functionality Cookies enable Us to provide additional functions to you on Our Site such as personalisation and remembering your saved preferences. Some functionality Cookies may also be strictly necessary Cookies, but not all necessarily fall into that category.

Session Cookies Any of the above types of Cookie may be a session Cookie. Session Cookies are temporary and only remain on your computer or device from the point at which you visit Our Site until you close your browser. Session Cookies are deleted when you close your browser.

Cookies on Our Site will expire as indicated in the table below.

For more details of the personal data that We collect and use, the measures we have in place to protect personal data, your legal rights, and our legal obligations, please refer to our Privacy Policy (https://guideprice.uk/privacy).

For more specific details of the Cookies that We use, please refer to the table below.

4. What Cookies Does Our Site Use?

The following first party Cookies may be placed on your computer or device:

Name of Cookie Purpose & Type Strictly Necessary
gp_preview (a Cookie) Used only on the pre-launch holding page. If you have been given the preview password and enter it, this Cookie lets you through to the full site. It holds a code worked out from the password, never the password itself. Persistent: 30 days. Secure, and not readable by scripts on the page. Visitors who have no password never receive it. It will go when Our Site opens to the public. Yes
__Secure-neon-auth.session_token (a Cookie) Keeps a Fitter signed in to their GuidePrice dashboard after they enter the code emailed to them. Set by our sign-in provider, Neon Auth, through our own address (guideprice.uk/neon-auth), so it is a first party Cookie. Set only when a Fitter signs in. Persistent: 7 days from signing in. Yes

The following third party Cookies may be placed on your computer or device:

Name of Cookie Purpose & Type Provider Strictly Necessary
Cloudflare Turnstile (no Cookie name that We can list) Checks that a person, not a machine, is filling in Our demo and feedback forms and the Estimator’s enquiry form. Runs only on those forms. Cloudflare publishes no list of the items it may store; We set none ourselves. Cloudflare, Inc. Yes
Stripe Checkout and billing pages (Stripe’s own Cookies) When a Fitter pays, they leave Our Site for Stripe’s pages. Stripe sets its own Cookies there for payment and fraud prevention under its own cookie policy. We do not control them. Stripe Yes

We stopped using the Meta pixel on Wed 4 Nov 2026. If you pressed “Accept” on Our Cookie message before then, Meta’s _fbp and _fbc Cookies (90 days) and fr (Meta’s own period) may still be in your browser until they expire or you clear them. Our Site no longer reads or adds to them.

The Estimator that a Fitter puts on their own website, and the private page where a homeowner reads and accepts a quote, set no Cookies of their own. The Estimator loads Cloudflare Turnstile when an enquiry is sent.

Our Site uses analytics services provided by Cloudflare (Cloudflare Web Analytics). Website analytics refers to a set of tools used to collect and analyse anonymous usage information, enabling Us to better understand how Our Site is used. This, in turn, enables Us to improve Our Site and the services offered through it. It counts page views, the page you came from, and your country and type of device, so We can see how many people visit, not who they are. Cloudflare Web Analytics sets no Cookies and stores nothing on your device, so there are no analytics Cookies to list.

Our Site does not place Cookies that need your consent, so it shows no Cookie message. If that changes, We will ask for your consent before placing those Cookies and will update this Cookie Policy.

In addition to the controls that We provide, you can choose to enable or disable Cookies in your internet browser. Most internet browsers also enable you to choose whether you wish to disable all Cookies or only third party Cookies. By default, most internet browsers accept Cookies but this can be changed. For further details, please consult the help menu in your internet browser or the documentation that came with your device.

The links below provide instructions on how to control Cookies in all mainstream browsers:

We may alter this Cookie Policy at any time. If We do so, details of the changes will be highlighted at the top of this page. Any such changes will become binding on you on your first use of Our Site after the changes have been made. You are therefore advised to check this page from time to time.

In the event of any conflict between the current version of this Cookie Policy and any previous version(s), the provisions current and in effect shall prevail unless it is expressly stated otherwise.
